Job Overview

We are seeking a dynamic and professional individual to join the largest telecommunications operations team in Québec, in a key permanent Administrative Assistant position. Reporting to the Director of Field Operations, this person will provide effective administrative and organizational support, ensuring the smooth flow of daily operations through the management of communications, schedules, documents, and the coordination of administrative tasks. The ideal candidate will actively contribute to the team’s success through their rigor and professionalism.

Key Responsibilities

  • Manage incoming and outgoing correspondence (emails, calls, postal mail) by applying advanced classification protocols to ensure efficient distribution.
  • Coordinate and maintain complex calendars; schedule appointments, meetings, and travel using integrated calendar management tools, optimizing time slots and resources.
  • Prepare, review, and accurately format various professional documents such as letters, detailed reports, and presentations, strictly adhering to established formatting guidelines and quality standards.
  • Ensure accurate translation of technical and general documents between French and English, using specialized glossaries and maintaining terminological consistency.
  • Maintain and update client and vendor databases by applying data validation, cleansing, and structuring methods to ensure data integrity and accessibility.
  • Administer expense accounts, process expense reports, and verify invoices in accordance with current financial procedures, ensuring compliance and transaction traceability.
  • Implement rigorous follow-up on actions, projects, and deliverables, including proactive stakeholder follow-ups and continuous status updates using dedicated tracking tools.
  • Develop, maintain, and optimize electronic filing systems and document repositories by applying advanced indexing, metadata, and search techniques for rapid retrieval.
  • Manage office supplies and equipment and assist with event organization, optimizing procurement processes and material resource management.
  • Provide basic technical support for common office applications and equipment, resolving minor issues according to documented procedures and escalating complex problems as needed.

Critical Qualifications

  • Academic background: College diploma (DEC) in Secretarial Studies, Office Administration, Business Administration, or a related field, demonstrating a solid foundation in administrative management.
  • Professional experience: Relevant experience in administrative assistance or operational support is a significant asset.
  • Advanced bilingualism: Professional proficiency in both French and English, written and spoken, enabling clear and accurate communication with all internal and external stakeholders.
  • Office tools proficiency: Excellent command of Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), including advanced Excel skills (functions, pivot tables) and email flow management.
  • Document management and organization: Strong knowledge of document organization, classification, indexing, and archiving techniques (physical and digital), using structured organizational methods and document management tools.
  • Analytical and problem-solving skills: Demonstrated ability to analyze information, identify trends, synthesize data, and propose effective solutions using structured analytical methods.
  • Project management and operational follow-up: Ability to efficiently manage multiple tasks and projects simultaneously, prioritize actions, and meet deadlines using project management techniques and operational tracking tools.
  • Attention to detail and rigor: Exceptional organizational skills, strong methodological rigor, and meticulous attention to detail to ensure quality, accuracy, and compliance of documents and processes.
  • Information systems proficiency: Proficiency in SAP is a major asset for entering, updating, and retrieving operational information.Good stress management and adaptability.

  • Flexible Work Profile: Mobile, team members are required to work at least three days per week at their primary BTS work location

Adequate knowledge of French is required for positions in Quebec.
