Summary

The Bell Consumer Channel Operations team is focused around delivering a flawless customer experience. 

 

The Executive Assistant will provide administrative support to the VP, Neighbourhood Marketing & MDU Partnerships and their team, and handle inquiries/issues. They will work as part of the administrative team, helping to keep a balanced workload.

Key Responsibilities

  • Manage the VP’s and Director’s calendars and itineraries, including the planning, organization, coordination of travel, meetings, conference calls, events and logistics with both internal and external clients.
  • Manage general correspondence on behalf of the VP’s, through processing email, mail and taking appropriate action and escalation with minimal supervision.
  • Assist in the preparation of reports and briefing documents for Senior Executives in a variety of formats (PowerPoint, Excel, Word, etc.).
  • Provide administrative support for the VP’s and the team as required – HR forms, vacation coding, ordering supplies and equipment
  • Develop and implement process improvements to maximize departmental efficiency.
  • Manage expenses; including completing invoice payments and expense management accounting, investigating and sourcing cost-effective purchases and practices.
  • Maintain a master filing system for invoices, contracts and bills, and be able to process confidential transactions in an efficient and expedited manner.
  • Manage special projects and additional support through the coordination of personnel related issues.
  • Manage ticketing for client and vendor hosting throughout the year for various events.
  • Other duties as delegated (will vary based on group supported).

Critical Qualifications

  • Professionalism and exhibiting good judgement in representing the office of the Executive.
  • Strong interpersonal skills and excellent written and verbal communication skills.
  • Strong attention to detail as well as solid analytical skills with ability to draw insights and provide recommendations.
  • Proficient organization, planning, scheduling and time management skills with the ability to multi-task, make decisions and prioritize work.
  • Display strong initiative and anticipate the needs of a busy Executive and team.
  • Computer experience is mandatory. Must have a strong working knowledge of commonly used business software, including MS Office Tools – Outlook, Word, PowerPoint, Excel, Teams, etc.
  • General understanding of basic financial concepts and tools, including knowledge of the corporate accounting methods for processing expenses, credits, revenues, and capital investments.
  • Understand key components of Human Resources administration and how to use the information, data of the management systems and tools required to do the job.
  • Willingness to work periodically beyond typical business hours.

Preferred Qualifications

  • Post-secondary formal training plus previous administrative experience.
  • Experience at Executive level.


Adequate knowledge of French is required for positions in Quebec.
