Position:  Production Unit Assistant
Job Status: Temporary- Full Time, 1 year contract
Location: Queen St, W. Toronto
Salary: Commensurate with qualifications and experience
Hours of Work: 40 hours per week. Overtime as required

Key Responsibilities

  • Assist the Production Manager(s) with daily administrative tasks
  • Code invoices to SAP invoicing system and/or internal coding tickets
  • Scan and track invoices to central tracking spreadsheet for month end reconciliation
  • Prepare and execute ACTRA contracts and update information to the ACTRA tracking report(s)
  • Assist with coding and processing of employee timecards
  • Process approved vacation requests in SAP Media Pulse system and reconcile balances for internal tracking
  • Prepare and track petty cash expenses
  • Prepare, track and scan expenses for processing in IVALUA
  • Assist with monthly preparation, scanning and reconciliation of Credit Card expenses
  • Assist with travel arrangements and follow up to ensure all necessary e-folios and receipts are received
  • Assist the unit with office supplies orders
  • Other duties as assigned

Critical Qualifications

  • Minimum 2 years’ experience in an administrative environment
  • Must be fully computer literate in MS Office with advanced skills in Excel
  • Effective communication skills both written and verbal
  • Ability to work under pressure and meet tight deadlines
  • Ability to adapt and be flexible in a variety of situations

 

Adequate knowledge of French is required for positions in Quebec.
