Summary
The Executive Assistant will provide high-level administrative support to the Senior Vice President (SVP) of Labour Relations and approximately three Directors and their respective teams. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will act as a trusted partner, ensuring seamless day-to-day operations and supporting strategic initiatives.
Key Responsibilities
- Executive Support:
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for the SVP and Directors.
- Prepare and organize briefing materials, presentations, and reports for internal and external meetings.
- Handle confidential information with the highest level of integrity and discretion.
- Team Coordination:
- Serve as a liaison between executives, internal teams, and external stakeholders.
- Support departmental communications, including drafting correspondence and announcements.
- Assist with onboarding and administrative needs for team members.
- Operational Excellence:
- Track and manage deadlines, deliverables, and follow-ups for key projects.
- Process expense reports and monitor budget-related activities as required.
- Manages Labour Relations project budget
Critical Qualifications
- Education: Post-secondary education in Business Administration or related field preferred.
- Experience:
- Minimum 5+ years of experience supporting senior executives in a corporate environment.
- Experience in labour relations or HR environment is an asset.
Preferred Qualifications
- Fully bilingual
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a dynamic environment.
Adequate knowledge of French is required for positions in Quebec.
