Summary
We are seeking a highly organized and proactive Executive Assistant to support a VP and Directors. This pivotal role requires exceptional calendar management, email coordination, and administrative support to ensure seamless operations within the executive team. The ideal candidate will thrive in a dynamic environment, effectively prioritize tasks, and maintain strong communication with various stakeholders.
Key Responsibilities
Calendar & Email Management:
- Maintain and optimize the VP and Directors' calendars, ensuring efficient time management and scheduling preferences.
- Proactively identify and resolve scheduling conflicts, while keeping all parties informed of any changes.
- Monitor, review, and categorize incoming correspondence, flagging priority items for immediate attention and responding to emails on behalf of the executives when necessary.
Administrative Support:
- Execute all administrative tasks with precision and timeliness, including expense management, invoice processing, and supply ordering within budget constraints.
- Provide logistical support for business meetings, including scheduling, venue arrangements, and necessary supplies.
- Assist other assistants and manage their tasks during absences to minimize backlog.
Office Coordination:
- Oversee office management tasks such as mass email distribution, document processing, and courier services.
- Maintain relationships with internal and external suppliers, ensuring office requirements are met.
- Ensure the office's privacy and security of proprietary information.
Travel and Event Coordination:
- Arrange business travel in compliance with company policies, identifying cost-saving opportunities while documenting all travel details accurately.
- Support major Field Services events, coordinating logistics and assisting the leadership team with event execution.
Expense Management:
- Review and process expense reports, ensuring accuracy and compliance with corporate policies.
- Analyze discrepancies and maintain organized records for all financial transactions.
Critical Qualifications
- Experience: Proven experience as an Executive Assistant or in a similar administrative role supporting senior executives.
- Skills: Exceptional organizational skills, attention to detail, and the ability to multitask effectively. Proficiency in Microsoft Office Suite and experience with expense management systems (e.g., Ariba).
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with various stakeholders.
- Problem-Solving: Proactive approach to identifying issues and implementing efficient solutions.
- Discretion: Ability to handle sensitive information with confidentiality and maintain a high level of professionalism.
- Other: In the course of their duties, this person will be required to interact with French & English speaking stakeholders across Canada.
Adequate knowledge of French is required for positions in Quebec.
