Summary

We are seeking a detail‑oriented Safety & Compliance Coordinator to support fleet operations and ensure compliance with federal, provincial, and cross‑border regulations. This role helps maintain safety standards, manages driver and vehicle documentation, and supports operational efficiency in a fast‑paced environment.

Key Responsibilities

Safety & Compliance

  • Administer fleet safety programs (driver safety, IFTA, licensing, permits, insurance, maintenance)
  • Develop and maintain safety and compliance policies aligned with DOT/MTO requirements
  • Ensure Hours of Service compliance; resolve unassigned logs and ELD issues
  • Lead safety meetings and support corrective actions

Driver Management & Training

  • Support hiring, onboarding, orientation, and driver qualification files.
  • Coordinate training, discipline, and retraining.
  • Communicate transborder requirements and carnet processes.

Regulatory & Documentation

  • Manage IFTA filings, plate renewals, permits, and vehicle credentials
  • Maintain CVORs, inspections, safety records, and compliance documentation
  • Consolidate logs monthly to calculate mileage for road‑tax purposes
  • Support internal and external audits (MTO, insurance, etc.)

Incidents & Claims

  • Manage accident reports, insurance claims, investigations, and follow‑up actions
  • Respond to driver issues and escalate emergencies when required

Operational Support

  • Monitor equipment and yard assignments
  • Provide vacation coverage for scheduling
  • Complete filing, documentation management, and general administrative tasks

Qualifications

  • 2–3 years’ experience in transportation safety, compliance, or a related role
  • Knowledge of DOT/MTO regulations, Hours of Service, and ELD systems
  • Bachelor’s degree preferred
  • Strong analytical, communication, and problem‑solving skills; high attention to detail
  • Ability to work independently and collaboratively in a fast‑paced environment
  • Proficiency with Microsoft Office; experience with TMS and ELD platforms

Workplace: Oakville warehouse, 5 days a week
Note: This position requires availability for overtime and on‑call responsibilities

 

Adequate knowledge of French is required for positions in Quebec.

Work Arrangement: Full-time in office (meaning that you will be required to perform your work on-site)

Total earning range: $55,000 - $75.000.  The advertised salary range may vary slightly as it is based on the company’s current salary structure, which may be revised by the company, from time to time, at its sole discretion. The agreed upon salary may also vary from the advertised salary ranges depending on several factors, such as the candidate’s qualifications, experience and internal equity​

The salary range above includes an Annual Incentive Plan objective which represent 4% of your Base Salary based on the achievement of individual and corporate objectives; The Annual Achievement Incentive Plan (“AIP”) payment is calculated based on a formula that takes into account several factors, including, without limitation, corporate and individual performance measures. The AIP payment is conditional upon meeting all of the AIP’s eligibility requirements. The AIP is subject to modification by the Company from time to time, at its sole discretion to better reflect evolving business structure, goals and strategies. 

 

For work arrangements that are ‘Hybrid’, successful candidates must be based in Canada and report to a set Dome office for a minimum of 3 days a week.  Recognizing the importance of work-life balance, Dome offers flexibility in work hours based on the business needs.
