Name and description of the hiring department

The Associate is responsible for providing assistance to management and their operational teams. They deal with enquiries and issues and are responsible to perform various administrative duties.

Job Duties / Accountabilities

  • Assist management with various administrative duties including completion of forms, minutes, ordering office supplies, coordinating vehicles, preparing and verifying invoices and processing corporate cards for managers, sorting and distributing mail
  • Update job logs and status of jobs, communicate with job coordinators and program management associates, and investigate material status to ensure that the job is on schedule
  • Analyze and produce various spreadsheets, reports and presentations
  • Update various databases
  • Provide support to internal customers and create various Job Aids
  • Perform Daily/Weekly Time Reporting verification and approve payroll for manager’s team
  • Manage municipal permits request
  • Manage signage board requests
  • Perform related duties as assigned

Essential Qualifications / Competencies

  • Ability to prioritize tasks and consistently meet deadlines
  • Ability to manage schedules, files, and office resources efficiently
  • Intermediate skills in relevant software, such as office suites, communication tools, and data management platforms
  • Ability to effectively communicate verbally and in writing to internal and external customers
  • Ability to collaborate with internal and external stakeholders
  • MS Word - Intermediate knowledge
  • MS Excel - Intermediate knowledge
  • Fluent in French (reading, writing, spoken)

Preferred Qualifications / Competencies

  • Knowledge of data analysis and general accounting
  • Knowledge of plan reading and workflow scheduling techniques

Working Conditions

  • Monday to Friday, regular business hours
  • Overtime occasionally
  • Workways Profile: Mobile (3 days a week in the office minimum)

 

Adequate knowledge of French is required for positions in Quebec.
