Main tasks and responsibilities

  • Management of reception and hospitality
  • Answer and transfer calls
  • Welcome customers and listeners
  • Reach the winners and finalists if necessary
  • Manage intern and extern mail
  • Receive calls and comments from listeners and follow up with the director concerned
  • Manage photocopier (inventory and functioning)
  • Manage office stationery

 

Routing management

  • Do the commercial playout using WideOrbit (local, regional and national)
  • Insert audio files using the provided layout
  • Ensure accuracy of the musical and commercial log for both stations
  • Delete expired messages in the system and WideOrbit Playlist editor
  • Work closely with the production department

 

Sales support

  • Develop and correct sales plans
  • Produce various reports with WideOrbit
  • Update various monitoring plans
  • Update various documents
  • Produce an inventory report for sponsorships weekly
  • Produce sales contracts in WideOrbit
  • Open accounts in WideOrbit
  • Update many documents regularly
  • Respond to various demands from Representatives

 

Support sales management

  • Participate in the organization of events for clients or employees
  • Book hotel rooms and equipment when necessary
  • Revise and edit documents
  • Prepare the information required for the monthly holding of the sales meeting
  • Respond to various requests
  • Related tasks
  • Ensure accuracy of the of the employees list for Val-d'Or and
  • Rouyn-Noranda
  • Ensure accuracy of the Rouyn-Noranda staff birthday list
  • Any other related task

 

Qualifications :

  • Diploma of secondary study or in a related field
  • 1 to 3 years experiences in administrative assistant or in a similar position
  • Ability to set priorities
  • Proven skills in sound decision-making, and ability to work well under pressure
  • Effective communication (written and oral) and interpersonal skills
  • Good knowledge in Microsoft applications: Excel (pivot tables), Word and PowerPoint
  • Experience in radio ( an asset)

 

 

Bilingualism is an asset (English and French); adequate knowledge of French is required for positions in Quebec.
