Name and description of the hiring department

This team is responsible for all administrative support within the Field Services organization - Nationally.

 

The Associate Control Center Administrative Support will be responsible for all end-to-end process of Time Administration, paying invoices, parking tickets, ordering supplies, creating all Purolator waybills and ordering minor tool equipment.

 

The role includes supporting manager on Time Admin, identifying, analyzing, modifying, improving, documenting and communicating processes that reduce cost and Field downtime. The associate will review reports and results to proactively identify trends and issues that help in developing best practices and solutions. They are also accountable for Time corrections for Field techs in Atlantic region. They need to respond to requests for support from Field Operations managers, and prepare monthly project and results updates for finance and management team.

Job Duties / Accountabilities

• Perform Daily/Weekly Time and Overtime Reporting verification

• Provide status to stakeholders on the progress minor material provisioning

• Coordinate and arrange travel requests with urgency

• Analyze and produce various reports

• Vlookup to combine databases

• Update various databases

• Handle customer complaints and escalation related to orders

• Provide support to internal customers and create various Job Aids

Essential Qualifications / Competencies

• Word and PowerPoint intermediate level

• Excel advanced level (including pivot tables), a test could be administrated

• Working knowledge of SAP (both P90 and P50)

• Proven experience in Administration & Maintenance of Technical documentation (Web, SharePoint)

• Excellent interpersonal skills, be engaging, positive, dynamic, energized

• Ability to communicate effectively both verbally and in writing with internal and external clients in English

• Proven analytical skills - able to identify and understand trends

• Strong problem solving skills – ability to reason logically

• Ability to manage competing priorities and deliver results within short timeframes & frequent interruptions, ability to work under pressure

• Ability to influence at cross-functional level to create an environment that fosters positive relationships, builds trust through mutual respect, and encourages teammates to excel

• Superior written and verbal communication skills

• Strong leadership, interpersonal and project management skills

• Ability to work in an environment of change and ambiguity

Preferred Qualifications / Competencies

• Basic knowledge of the structure of Field Services department, & support groups

• Knowledge and understanding of "VLOOKUP"

• Account Payables Self Support knowledge (APSS)

Working Conditions

• Monday to Friday with a work period between 7:00 AM and 5:00 PM

• Shift /schedule flexibility based on business needs. Hours of operation are subject to change

 

Adequate knowledge of French is required for positions in Quebec.
