Summary

The TSF Operations Assistant is primarily responsible for creating planned and reactive maintenance work orders and the timely dispatching to the respective contracted maintenance provider. The TSF Operations Assistant is also responsible for following up with the maintenance provider to ensure timely work order closure according to defined service level agreements. 

Key Responsibilities

  • Assists the TSF Operations Coordinator by utilizing system based work order management tool (Workforce) to generate planned and reactive maintenance work orders
  • Dispatches work orders to maintenance service providers
  • Monitors work order completion with all maintenance providers to ensure that work orders are completed in a timely matter
  • Assists the TSF Operations Coordinator with work order reconciliation and preparation of overdue work orders status (Aging KPI Report)
  • Assists the TSF Operations Coordinator with work order escalation & maintenance provider follow up

Critical Qualifications

  • Prior operational experience in a work order based system environment, an asset
  • Strong IT skills (Excel, MS Office, Quattro, SAP, etc.)
  • Demonstrated ability to analyze data and drive required actions

Preferred Qualifications

  • A strong knowledge of the City and its internal geographical boundaries
  • Task orientated with high attention to detail
  • Strong communication and motivational skills

Additional Requirements

  • Strong interpersonal skills
  • Team player

Adequate knowledge of French is required for positions in Quebec.
